The Corporate Event AV Checklist Every Planner Needs

Planning a corporate event in Arizona? Use this checklist to make sure your audio visual setup is locked in before the big day.
Corporate events have zero room for technical errors. A CEO's keynote shouldn't be derailed by feedback, and your awards ceremony shouldn't stall because a microphone died. Here's the checklist we use before every corporate event.
Audio
- Front-of-house speakers sized for the room and guest count
- Backup wireless microphone system on standby
- Podium mic + handheld for Q&A
- On-site engineer at the mix position throughout the event
- Soundcheck completed minimum 90 minutes before doors open
Visuals
- Screen size appropriate for back-row visibility
- Projector or LED wall confirmed for ambient light level in venue
- Presentation laptop with backup drive
- Confidence monitor or teleprompter if needed
- Brand logos and lower-thirds pre-loaded and tested
Lighting
- Stage wash that flatters speakers on camera
- Audience lighting levels set (bright enough for networking, dim enough for presentations)
- Gobos or branded lighting for atmosphere
Logistics
- Load-in time confirmed with venue
- Power requirements reviewed with venue
- Emergency contact list for crew and client
- Strike time and breakdown plan confirmed
